Ready to ditch the shoebox but not sure where to start?
The idea of “going digital” can sound complicated, but it doesn’t have to be. You don’t need fancy software or costly subscriptions to take control of your paperwork.
You can get 80 % of the way there using the supercomputer you already carry in your pocket — your smartphone.
Here are five simple, practical steps to start taming your paperwork today.
Step 1: Create Your Digital Shoebox
Before you scan a single thing, you need a place to put it.
Use a free cloud service like Google Drive or Dropbox. Create one main folder called “Business Finances.”
Inside that, create a folder for the current financial year — for example, FY 2024-2025.
That’s it — your digital shoebox is ready to go.
Step 2: Get a Proper Scanning App (Don’t Just Take a Photo!)
A blurry photo of a receipt won’t cut it. The ATO requires clear, legible copies.
Download a free scanning app such as Microsoft Lens or Adobe Scan.
These apps transform your phone’s camera into a true scanner — they detect edges, enhance contrast, and save crisp, professional-looking PDFs.
Step 3: Name It, Don’t Shame It
This is the most important habit. A file called IMG_4057.pdf is meaningless.
When you scan a receipt, rename it before saving. Keep it simple and consistent:
Date – Supplier – What – Amount
Examples:
22-10-25 – Bunnings – Decking Screws – 85.50.pdf
23-10-25 – Shell – Ute Fuel – 120.00.pdf
Your future self (and your bookkeeper) will thank you.
Step 4: Build the “Snap, Name, File” Habit
Don’t let receipts pile up. The moment you get one — in the ute, at the café, or at the supplier — pull out your phone:
- Snap it with your scanning app.
- Name it using your system.
- File it directly into your FY 2024-2025 folder.
The whole process takes 30 seconds — then you can bin the paper receipt for good.
Step 5: The “15-Minute Friday” Tidy-Up
Forgot a few? No problem.
Set a phone reminder for 15 minutes every Friday arvo. Use that time to scan and file any loose receipts from your wallet or glovebox.
It’s a small habit that stops the molehill from turning back into a mountain.
You’ve Just Gone Digital
That’s it — you’ve built a simple, ATO-compliant, digital filing system.
It’s a massive upgrade from the shoebox and will save you hours at tax time (and probably a few arguments, too).
